If Google Sheets can’t handle your increasingly complex finances but you don’t want to pay for software, Wave Accounting is your solution. Like Google Sheets, Wave is free for life (and both options are cheaper than Excel, which costs a monthly fee). It does much more than spreadsheet-only software can, including these tasks:

  • Generating profit and loss reports
  • Tracking your cash flow
  • Reminding you of unpaid bills and invoices

However, Wave doesn’t include built-in inventory management. Since it isn’t as popular as Xero, QuickBooks, or FreshBooks, it doesn’t sync with as many ecommerce or inventory apps—you’ll have to manually input more financial data to keep your books up to date.

Most accounting software charges extra for inventory management—but Xero includes inventory tracking with every plan, even its $13 Early plan. 

That perk alone makes Xero a better fit than QuickBooks and FreshBooks for eBay sellers who don’t want the hassle of a third-party inventory management system.

Xero also has several other features that set it apart as particularly good for eBay sellers: 

  •  Integration with 1,000+ apps, including A2X for eBay
  • Straightforward dashboard
  • Low starting price ($13 a month)
  • Free unlimited users (perfect for eBay, Etsy, and Amazon sellers who sell as a team)

But Xero isn’t right for everyone. Xero’s Early plan limits you to just 20 invoices and five bills a month. If that cap is too low for you, you’ll need the Growing plan ($37 a month). And if you’re selling products globally, you’re out of luck: only the priciest plan offers multicurrency support.

Like Xero, QuickBooks Online syncs effortlessly with your eBay account along with dozens of other ecommerce apps. It also has a fantastic mobile accounting app that does everything the browser-based software does, so if you want to get notified of eBay sales when you're out of town, the app can handle it.

QuickBooks Online is also a good solution if selling for eBay or Amazon is just one of your many gig jobs. If you also travel to do contract work or run another side business, QuickBooks tackle freelancing tasks that make filing taxes as simple as possible. Thanks to the mobile app, no matter where you travel (as long as it’s with your favorite web-enabled device), you can perform these accounting tasks:

  • Mileage tracking
  • Quarterly tax estimation
  • Income, expense, and cash flow tracking
  • Receipt scanning

Unfortunately, QuickBooks’ thorough features come at a high price. At $30 a month, it’s the priciest on our list. Currently, however, QuickBooks is 70% off for three months. If you'd rather find out if QuickBooks is right for you before paying, you can waive the discount pricing and sign up for a 30-day free trial instead.

Plus, unlike Xero, QuickBooks Online doesn't include inventory management with its cheapest plan—you'll have to step up to QuickBooks Online Plus, which costs $85 a month.

While you can send invoices through eBay, you can also send them through FreshBooks—and if you prefer to send customized, professional invoices, you might want to go with FreshBooks. 

FreshBooks easily offers some of the best invoicing features accounting software can buy. Even its basic plan comes with automations that providers like QuickBooks don't include with their cheapest plans, such as automatic recurring invoice generation. 

FreshBooks also offers freelance features in the same vein as QuickBooks and Xero. You can use the software to track sales taxes, stay on top of your profits, and create crucial tax forms at the end of the year.

However, like QuickBooks Online, FreshBooks doesn't offer inventory management with its basic plan. (If you want thorough inventory management that doesn't cost $30 or more per month, Zoho Books and Xero are your main options.) 

FreshBooks also has the fewest number of third-party integrations out of our top three picks. It doesn't integrate with some of the most popular eBay apps, such as Link My Books and A2X.

Many freelancers don't sell enough goods on eBay, Amazon,  or Etsy to merit a warehouse. But if your midsize business does, then the combination of Zoho Books and Zoho Inventory can help you stay on top of your ecommerce game.   

Zoho Inventory is completely free if you fill 50 or fewer orders a month. You'll get 50 shipping labels and can send 50 invoices too, and you can manage inventory stored at one warehouse. Zoho Inventory isn't a thorough accounting solution, but it syncs with Zoho Books, which tracks expenses, reconciles bank accounts, and lets you send multilingual invoices. If you make less than $50K USD a year, you qualify for Zoho Books' free plan. 

Zoho Inventory handles eBay inventory remarkably well. Sure, Zoho doesn't sync with popular eBay apps like AX2, but it doesn't really need to. Zoho itself, especially in combination with Zoho Books, does enough all on its own. 

Now for the downsides. If you sell more than 50 products a month, you need Zoho Inventory's Standard plan, which costs $59 a month if you pay annually.

And while Zoho syncs with more third-party apps now than ever before, its integrations are pretty glitchy. Zoho syncs best with itself—not a problem if you love the Zoho suite of products, but definitely an issue if you want to add more business apps.

In contrast to some of the more popular accounting software providers, FreeAgent doesn’t limit the number of clients you can add, invoices you can send, or bills you can enter. Along with its unlimited features, it offers sales tax tracking and multi-currency support—two crucial features if your customers order from anywhere.

While FreeAgent starts at $12 a month, the price goes up to $24 after the first six months. It also doesn’t have as many third-party integrations as Xero, FreshBooks, and QuickBooks: you might have to manually import more data.

In contrast to the other providers on our list, Easy Auctions Tracker was built specifically for eBay bookkeeping. Once you sync the software with your eBay account, it automatically downloads your last month of sales. Next, it charts how much you’ve made on each individual item and calculates your business’s profitability as a whole.

Since Easy Auctions Tracker is basically elevated, eBay-specific spreadsheet software, it has far fewer features and much less tax assistance than our other providers. Still, if you want something short, sweet, and low cost that does a bit more than Google Sheets or Excel, Excel Auctions Tracker could be a good fit.

The takeaway

If you make a lot of your money by selling on eBay auctions, one of the accounting software on this page can help you keep your finances in line. While we think Xero is the best overall solution for eBay sellers generally, it’s okay if Xero isn’t your solution. QuickBooks Online, Zoho Books, and FreshBooks are all solid picks for sellers who want more hands-off automation. And Wave is a great choice for sellers on a budget.

Ideally, the best accounting software for your eBay store will perfectly balance the following benefits.

1. eBay account integration

Accounting software should make your life easier by automatically tracking your eBay sales, organizing your inventory, and generating end-of-year tax documents. If your software doesn't sync directly with your eBay (or Amazon or Etsy) account, you'll have to enter every sale you make by hand if you want your books to be accurate. 

Entering data manually could be doable if you only make a few sales a month. Otherwise, you'll want to look for software that directly connects to your seller account, imports finances, and organizes data without much action from you.

2. Third-party ecommerce app integration

If you're already using an ecommerce app to track sales on eBay, you'll want to find accounting software that easily pairs with your current app. Not all accounting software syncs with every app. Some, like Zoho Books, primarily integrate with other Zoho apps. Xero and QuickBooks Online tend to integrate with the most apps—Xero has over 1,000 integrations and QuickBooks is nearing 1,000. 

If your favorite accounting software doesn't integrate with your ecommerce app, platforms like Zapier or Appy Pie can help you connect apps that don't otherwise work together.

3. The right price

Obviously, you need software that fits your budget. A basic accounting software plan can cost anywhere from nothing (with free-for-life software like Wave) to $30+ from a premium provider like QuickBooks. Some accounting companies only charge per month, such as QuickBooks, while others like FreshBooks give you a discount if you pay annually. 

The average basic accounting plan costs between $10 and $15, though you can find higher and lower prices depending on the brand.

While the best accounting software for eBay sellers depends on your needs, we think Xero is the best accounting software for most eBay, Amazon, and Etsy sellers. Xero’s $13 a month plan probably has the most eBay-friendly features (including inventory management) for its price.

However, Xero also limits you to 20 invoices a month, so it isn’t the best choice for sellers with more invoices. Wave is free, but it lacks inventory management. And QuickBooks Online is pricey, but its mobile app simplifies on-the-go accounting.

In other words, while we think the seven accounting software we reviewed here are the best options for most sellers, we recommend looking into each provider’s specifics to find the one for you. Nearly all of these providers offer free trials, and we strongly recommend test-driving software before committing to one accounting solution.

Both eBay and Amazon sellers use many of the same accounting software features, especially tax-time reports and inventory tracking. The eight software options we’ve curated here can, by and large, work just as well for Amazon sellers as eBay sellers. In particular, Xero offers inventory management at a low starting price, QuickBooks Online has a user-friendly mobile app, and Wave does accounting and invoicing at no cost.
